About the role

Job Summary

The Executive Assistant provides high-level administrative and operational support to senior executives by managing calendars, coordinating meetings, handling correspondence, organizing travel arrangements, and ensuring the smooth execution of day-to-day business activities. This role requires exceptional organizational skills, professionalism, discretion when handling confidential information, and the ability to manage multiple priorities in a fast-paced environment while maintaining strong relationships with internal and external stakeholders.


Key Responsibilities
  • Provide comprehensive administrative support to senior executives.
  • Manage complex calendars, appointments, and meeting schedules.
  • Coordinate domestic and international travel, including flights, accommodations, visas, and itineraries.
  • Organize meetings, prepare agendas, take minutes, and follow up on action items.
  • Screen and manage emails, phone calls, and correspondence on behalf of executives.
  • Prepare presentations, reports, spreadsheets, and business documents.
  • Handle confidential information with the highest level of discretion.
  • Coordinate communication between executives, employees, clients, and external partners.
  • Assist with project coordination and monitor deadlines.
  • Maintain filing systems and organize electronic and physical documents.
  • Coordinate company events, conferences, and executive meetings.
  • Process expense reports and assist with budget tracking when required.
  • Support office operations and perform other administrative duties as assigned.

Required Qualifications
  • 3–5+ years of experience as an Executive Assistant, Personal Assistant, or Senior Administrative Assistant supporting senior leadership.
  • Excellent verbal and written communication skills in English.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience managing executive calendars and travel arrangements.
  • Excellent organizational and time management skills.
  • Ability to prioritize multiple tasks and meet deadlines.
  • Strong attention to detail and problem-solving abilities.
  • High level of professionalism and confidentiality.
  • Ability to work independently and collaboratively in a fast-paced environment.

Preferred Skills
  • Experience supporting C-level executives or senior management.
  • Experience with Microsoft Teams, Zoom, SharePoint, and other collaboration tools.
  • Project coordination experience.
  • Event planning and meeting coordination.
  • Document management and record keeping.
  • Experience working in multinational or corporate environments.
  • Additional language proficiency is an advantage.
